Overview

Receptionists serve as the frontline representatives of businesses and organizations, providing essential administrative support and delivering excellent customer service to clients, visitors, and employees. Duties

Greeting and Welcoming:
  • Warmly welcoming visitors, clients, and employees as they arrive at the office or reception area.
  • Directing guests to appropriate meeting rooms, offices, or personnel and ensuring they feel valued and attended to.
Answering and Routing Calls:
  • Operating multi-line telephone systems to answer incoming calls promptly and professionally.
  • Screening and transferring calls to the appropriate departments or individuals and taking messages when necessary.
Managing Inquiries and Correspondence:
  • Responding to inquiries from clients, customers, and employees regarding company services, products, or policies.
  • Handling incoming and outgoing mail, packages, and deliveries and ensuring they reach the intended recipients in a timely manner.
Scheduling and Coordination:
  • Managing appointment calendars and scheduling meetings, appointments, and conference room bookings for staff and clients.
  • Coordinating travel arrangements, including flights, accommodations, and transportation, for employees and visitors when needed.

Qualifications:

  • High school diploma or equivalent education is typically required.
  • Additional coursework or certification in office administration, customer service, or related fields
  • Excellent verbal and written communication skills to interact effectively with clients, visitors, and colleagues.
  • Strong customer service orientation with a friendly and approachable demeanor.
